AGENDA REPORT

DATE: July 22, 2024

TO: City Commission

FROM: Bill McDaniel, City Manager

SUBJECT: Vehicle and Equipment Replacements

EXECUTIVE SUMMARY:

Two Utilities Billing vehicles, Unit 123, a 2016 Ford F-150 with 141,906 miles, and Unit 124, a 2017 Chevrolet Colorado with 101,240 miles, have exceeded their useful life and have become costly to maintain. Both vehicles have ongoing mechanical and electrical issues that have exceeded a combined $20,000 over the past two years.

With continuing issues facing both units, staff recommends replacement of these units now. Two new Nissan Frontier pickup trucks can be acquired from Brandon Nissan for $31,000.50 each. The price offered by Brandon Nissan is more affordable than the contract price of $31,656 each offered through the Florida Sheriff's Association by competing dealerships. In addition, these trucks are in stock and ready for delivery, which would avoid supply chain issues experienced by staff in recent years.

These vehicles will be upfitted with safety lighting for Utility Billing operations through Enforcement One, via piggyback of Hillsborough County Sheriff's Office contract 16-20, for $5,800 each.

Additionally, a Utilities Maintenance excavator, Unit 3142, a 2014 Caterpillar Excavator, has experienced a catastrophic engine failure and has been determined to be beyond repair by the City's Fleet Management contractor, King & George. This unit can be replaced with a new Caterpillar 308 Hydraulic Excavator from Ring Power Corporation, via piggyback of Florida Sheriff's Association Contract No. FSA23-EQU21.0, Item 68, for $142,166.

RECOMMENDATION:

That the City Commission authorize the City Manager to purchase two Nissan Frontier pickup trucks from Brandon Nissan, for $62,001.00 and to purchase a Caterpillar 308 Hydraulic Excavator from Ring Power Corporation, via piggyback of Florida Sheriff's Association Contract No. FSA23-EQU21.0, Item 68, for $142,166.
