AGENDA REPORT
DATE: October 13, 2025
TO: City Commission
FROM: Bill McDaniel, City Manager
SUBJECT: Purchase of 106 laptops from Dell Technologies
EXECUTIVE SUMMARY:
In 2021, the City was awarded CARES Act funds, which were used in part to purchase laptops and accessories. This equipment ensured employees could continue delivering City services remotely during the COVID-19 pandemic.
The City’s Information Technology Division follows a five-year equipment refresh cycle. The requested funds will replace 106 laptops, docking stations, and 212 monitors originally purchased with CARES Act funds in early 2021. These devices have reached the end of their life cycle, are no longer under warranty, and are beginning to experience failures. Replacing these laptops will provide staff reliable equipment to maintain City operations.
The total cost for 106 laptops, docking stations, and 212 monitors is $229,500. This amount includes a five-year support warranty for all laptops and docking stations.
RECOMMENDATION:
That the City Commission approve a resolution authorizing the City Manager to purchase laptops, docking stations, and monitors from Dell Technologies through the piggyback of Contract 43210000-23-NASPO-ACS for cost not-to-exceed $229,500.
FISCAL IMPACT:
Funds are available in the General Fund, Org # 00151600, Obj # 4641100 - IT Division, City-Wide Computer Equipment.
